FIWF is able to give its grant due to the generosity of the students of Saint Michael's College.  The money comes from the undergraduate student activity fee, and is allocated by the Student Association annually.

Senate Policy II: Fix it with Five Grant [2009]

It is the mission of the Fix It With Five Committee to promote systemic change through an annual grant to a non-profit organization demonstrating this same commitment. Following the Saint Michael’s College mission of social justice, this student-led and student-funded program aims to alleviate a condition leading to the degradation of human dignity. Through the grant process, the Fix It With Five Committee works to educate the Saint Michael’s College community by raising awareness of the critical social problems that plague our local community.
 
Section 1.
  1. It is hereby established that the Student Association shall allocate ten-thousand dollars ($10,000.00) annually to the Fix It With Five grant.  The grant money comes from the student’s activity fee. 
  2. An additional four hundred dollars ($400.00) shall be allocated annually to cover administrative costs associated with the committee.
 
Section 2.  No further funds will be available for disbursement to any and all charities from the SA budget, with the exception of disbursements made to relief funds pertaining to exemplary circumstances.
 
Section 3.
  1. Fix It With Five shall be organized and run by an Executive Board responsible for the of the Fix It With Five grant. This board shall consist of:Student Chair
    1. Student Vice-Chair
    2. Student Association Vice President
    3. Four to six (4-6) additional Executive Board members
    4. One or two (1-2) Faculty/Staff members
  2. In addition to the aforementioned members, the Fix It With Five Committee shall remain open to the inclusion of any Saint Michael’s College student, staff or faculty member who feels drawn to the Committee’s mission and is able to make the necessary commitment. These individuals will be considered general members of the Committee and may be called upon to assist the Executive Board in their responsibilities.
Section 4.  Following the ratification of the donation by the S.A., members of the Executive Board will be selected as follows on an annual basis:
  1. The Chair and Vice-Chair shall be chosen for the Fix It With Five Executive Board through a majority vote of all current board members not seeking appointment to said positions.
  2. An announcement shall be sent out from the Fix It With Five Committee stating that Executive Board applications are available to all undergraduate students; this announcement shall be made no later than the ninth (9th) week of classes in the spring semester. Any student who successfully completes the application will be considered eligible. Students will then be appointed to the Executive Board for the following academic year by the current Fix It With Five board members.
  3. All faculty and staff committee positions will be chosen by the newly appointed members of the Fix It With Five Executive Board.
    1. All faculty/staff advisors must complete an Advisor Confirmation Form.
 
Section 5.  The Fix It With Five Committee shall adhere to the following timeline when allocating grant:
  1. The committee will be notify eligible non-profits of the grant opportunity by the seventh (7th) week of classes in the fall semester.
  2. Grant proposals are due to the committee by the fourteenth (14th) week of classes in the fall semester.
  3. The committee will narrow the field of grant applications to three (3) finalists by the second (2nd) week of classes in the spring semester. All applicants must be notified of the status of proposal by the fourth (4th) week of classes in the spring semester.
  4. The three (3) finalists will present to the S.A. by the sixth (6th) week of classes in the spring semester.
  5. Online voting open to the entire student body will begin after the presentations at the S.A. a period of at least five (5) days.
  6. Presentation of the results will be made to the S.A. on the seventh (7th) week of classes.
  7. The S.A. must ratify the donation with a two-thirds (2/3) majority vote of the Senate.
  8. Following the ratification by the Senate, recipients and non-recipients will be notified by the committee of the results.
  9. The grant recipients will be asked to present the status of the use of their funds to the S.A. the following academic year.
